POSITION SUMMARY:

The Atlanta Regional Commission (ARC) is the regional planning and intergovernmental coordination agency that focuses on issues critical to the region’s success, including growth and development, transportation, water resources, services for older adults and workforce solutions. ARC is dedicated to unifying the region’s collective resources to prepare the metropolitan area for a prosperous future. This is done through professional planning initiatives, the provision of objective information and the involvement of the community in collaborative partnerships.

The Program Development Support Specialist will provide administrative support to enhance the performance of the Program Development Section.  This role reports to and will work with the section manager to identify innovative solutions that streamline processes across programs; conduct complex program and data analysis; and maintain accuracy of multiple databases and tracking tools.  This position is also responsible for entering client information into required client management systems; tracking unit purchasing and invoicing; helping with P-card reconciliation; and pulling program reports and compiling data for monthly section reporting.  This temporary part-time position (average 25 hours per week) is not eligible for benefits.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Compiles, organizes, enters, and tracks data and information; reviews and verifies data for accuracy and completion; prepares and distributes standard reports, notices, requests, documents and/or correspondence; monitors completion, authorization, and timely return of applicable documents and forms;
  • Tracks, processes and monitors status of a variety of administrative and financial transactions such as material aid purchase, invoice payment, credit card reconciliation/payment, procurement forms and/or travel arrangements; coordinates internal office transaction processes;
  • Develops reporting format and pulls monthly reports for section program grant reporting, Key Performance Indicators and monthly dashboard metrics;
  • Gathers monthly P-card purchasing information from section card holders and compiles and submits monthly P-Card reconciliation reports;
  • Provides general administrative support to assigned staff;
  • Assists and provides support in meeting and/or event planning; coordinates event logistics and dissemination of information;
  • Provides basic research in assigned area; compiles information and enters information into related databases; extracts information from databases; and creates/ edits charts and reports;
  • Prepares, organizes, and maintains files, logs and records; enters and updates system data; reviews and maintains schedules; photocopies documents; maintains and secures confidential and sensitive information;
  • Maintains all Standard Operating Procedures and manuals needed to identify the work of the section; and
  • Perform other duties as assigned to support agency goals and objectives.

Required Knowledge, Skills, Abilities and Competencies

  • Knowledge of the Aging Network, experience in the field of aging/disabilities;
  • Knowledge of community-based health and long-term care services network;
  • Knowledge of financial transaction processing such as paying invoices, procurement processing and/or travel arrangements;
  • Skills in oral and written communication;
  • Skills in compiling and assessing data to identify trends;
  • Possess strong analytical and technical skills;
  • Ability to compile, assign and track data and offer suggestions for process improvement;
  • Ability to multi-task with attention to detail and strong time management skills;
  • Ability to work independently, organize tasks, meet deadlines, and manage and prioritize competing demands;
  • Ability to work in collaboration with other team members, supervisors, and the agency;
  • Excellent organizational, communication and facilitation skills; and
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams and PowerPoint) and data management systems.

MINIMUM QUALIFICATIONS:

  • High School diploma or GED
  • Four (4) years of related administrative support or customer service experience

An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation.

PREFERRED QUALIFICATION

  • Bachelor’s Degree in business, public administration, social work, gerontology or related field
